ASSESSMENTS
We require a minimum of 48 hours notice for cancellation/rescheduling of an assessment appointment. Except in exceptional circumstances (i.e., snowstorms, sudden illness), clients will be billed a $225 cancellation fee for sessions missed without appropriate notice. Late cancellations will be reviewed on a case-by-case basis.
Can I cancel due to illness?
We understand that sometimes children get sick the night before their appointment and there is not time to give 48 hours notice. Please let us know as soon as possible if your child has become sick (e.g., the night before); in most cases we would much prefer to reschedule than have a sick child come to the clinic. We see many children and families each week and do not want to pass illnesses around. Additionally, if your child is ill, they will not be at their best and this can affect the accuracy of your assessment results. If you need to reschedule your assessment appointment because of illness, please let us know with as much notice as possible.
The quickest way to let us know your child is sick, and will not be able to make their appointment is to call the office @ 705-403-1973 & leave a message.
When rescheduling may be a good idea?
You know your child the best and we trust your judgment as to whether or not you think they are too sick to attend their testing sessions. If they seem healthy enough to attend, but you’re unsure whether or not they might still pass their illness on to others, the Ontario College of Family Physicians provides the following general recommendations for families:
* stay home until any fever is gone and other symptoms have been getting better for at least 24 hours.
* for gastro-intestinal symptoms, such as nausea/vomiting, diarrhea and stomach pain, wait until they have resolved for at least 48 hours before coming in contact with others.
If you need to cancel, please let us know as soon as possible. Many of our clinicians travel from the GTA for work so we will need to let them know of a schedule change before they start their commute.
What if we no longer want an assessment?
We require a minimum of 48 hours notice prior to the Parent Intake session, otherwise we will charge a late cancellation fee ($225). If you know that you are no longer needing an assessment through our clinic, we kindly ask you to let us know with as much notice as possible. Please let us know at any point if you no longer require our services so that we can adjust our waitlist and have a more accurate picture of our estimated wait times. By giving as much notice as possible, you will also be giving us the opportunity to offer your spot to the next family on the waiting list.
THERAPY and CONSULTATION APPOINTMENTS
We require a minimum of 24 hours notice for cancellation of counselling/therapy or consultation appointments. Clients will be billed the full cost of sessions missed without appropriate notice.
Paid invoices will say “Late Cancellation Fee”. Exceptional circumstances (i.e., snowstorms, sudden illness) will be reviewed on an individual basis.
Should I reschedule if my child is sick?
If your child is experiencing flu-like symptoms, we strongly advise against attending in-person sessions. We see many children and families each week and do not want to pass illnesses around. Additionally, your child needs to be feeling well enough in order to engage well in a therapy session. When a child is sick, sessions can be rescheduled or can be switched to virtual sessions, as appropriate.
In cases where a child is sick, please contact your therapist directly to let them know if you need to cancel or reschedule your session. We require 24 hours notice or a late cancellation fee will be charged. Any exceptions will be reviewed on a case-by-case basis.
If you cannot reach your therapist, please get in touch with our office by phone or email.
What happens if my therapist is sick?
If your therapist feels unwell, they will contact you directly to discuss options. This may include shifting to a virtual session or rescheduling. If your session needs to be rescheduled, we will aim to give options within one week of the canceled appointment.
Extreme weather
In extreme weather conditions, if you feel driving conditions are not safe, please let us know as soon as possible. In many situations, your clinician may offer to switch to virtual, if appropriate for your child/teen.
Our policies are designed to provide flexibility and support to our clients while maintaining a safe environment for everyone. Your understanding and cooperation are greatly appreciated. Our policies go through regular updates and we will keep you informed of any changes.
Sincerely,
Dr. Petra Gyles Psychology
